1. Introduction & Acceptance of Terms

Welcome to Libby. These Terms of Service ("Terms") govern the relationship between you ("Member," "Student," "Faculty," or "User") and Kamaliya Campus Central Library (India), together with the platform developer, Etriq.

By signing into your institutional Libby account, using the mobile application, presenting your digital library card, or reserving books, you agree to follow these Terms and the physical library rules of Kamaliya Campus.

2. About the Libby Platform

Libby is a digital library companion platform built for campus libraries. The app provides:

  • Digital Catalog Search: Explore available physical books, subject categories, and shelf locations.
  • Loan Tracking: Check your active book checkouts, due dates, and available renewals.
  • Book Reservations: Place holds on books that are currently checked out and get notified when they are ready.
  • Digital Library Card: Display an on-screen scannable QR card at the circulation desk for quick checkouts and returns.
  • Clearance Verification: Easily verify that all borrowed materials and library dues are settled before graduation.

3. Eligibility and Institutional Access

Access to Libby is restricted to enrolled students, faculty members, and authorized staff of Kamaliya Campus.

  • No Public Self-Registration: Libby is not an open public social network. You cannot create an account yourself on the public internet.
  • Administrator Provisioning: Your account is created and activated by library staff when you join or enroll in the institution.
  • Campus Role: You are assigned a role (Student, Faculty, or Library Administrator) that determines your borrowing allowances and loan periods.

4. Accounts and Sign-in Credentials

You are responsible for keeping your sign-in details confidential and for all library activity occurring under your account.

  • You sign in using your assigned Library ID and password. Do not share your password with anyone else.
  • Do not allow other students to borrow physical books using your digital library card without librarian approval.
  • If you believe someone else has accessed your account, notify library staff immediately at kamaliyacampus@gmail.com.

5. Acceptable Use Rules

You agree to use Libby only for legitimate academic study and campus library borrowing. You agree NOT to:

  • Attempt to bypass, tamper with, or probe security controls or access permissions.
  • Impersonate another student, faculty member, or library administrator.
  • Forge, alter, screenshot-spoof, or tamper with digital QR library cards.
  • Use automated scrapers, bots, or scripts to extract catalog data or flood reservation queues.
  • Damage, alter, or remove physical barcode labels or catalog tags from library books.
  • Misuse library notification tools to transmit unauthorized or abusive messages.

Violating these rules may result in temporary suspension of digital library access and referral to campus administrative review.

6. Physical Lending Rules & Quotas

Libby reflects the physical circulation rules of Kamaliya Campus Central Library:

Campus Role Maximum Active Loans Standard Loan Duration Renewal Guidelines
Students 2 Physical Volumes 14 Calendar Days 1 in-app renewal allowed if no other student has reserved the book.
Faculty Flexible Research Quota 30 Calendar Days Flexible renewal based on departmental research needs.
Library Administrators Desk Operations / Reference N/A Full desk checkout and inventory management authority.

Notice on Fees: Libby displays due dates and recorded balances. The app does not automatically deduct or charge late fees unless they are formally recorded by library staff.

7. Reservations & Pickup Windows

When all physical copies of a book are checked out, members can place a reservation to wait in line.

  • Fair Order: Book reservations are handled in the order they are received.
  • Session-Based Collection Windows: The time you have to collect a reserved book is based on the library's actual opening sessions. Days when the library is closed (such as holidays or scheduled closures) do not count against your pickup deadline.
  • Automated Reallocation: If a reserved book is not picked up within its designated open window, the hold expires so the copy can be offered to the next student in line.

8. Lost-Book Charges & Academic Clearance

You are responsible for taking care of borrowed books until they are scanned back in at the library desk.

  • Lost or Damaged Books: If a borrowed book is lost or damaged, library staff may record a replacement charge to cover the cost.
  • Settlement: All charges must be resolved at the library desk. Staff can record payments or apply authorized waivers.
  • Graduation Clearance: Graduating students or departing members must have zero overdue books and zero unpaid charges to receive official library clearance for transcripts or graduation certificates.

9. Member Responsibilities

As a library member, you agree to:

  • Return borrowed physical books on or before the due date shown in your Libby app.
  • Treat library books with care, keeping them safe from water damage, markings, or torn pages.
  • Show your official digital library card in the app at the desk when checking out or returning books.
  • Check your in-app loan reminders and alerts regularly.

10. Role of Library Staff

Authorized library staff have administrative responsibilities to keep the library running smoothly:

  • Creating, updating, and deactivating member library accounts.
  • Setting scheduled opening hours and holiday schedules.
  • Scanning book barcodes, checking books in and out, and assessing physical book conditions.
  • Recording replacement charges and applying authorized fee waivers.
  • Issuing formal library clearance confirmations for graduation.

All administrative actions are recorded to ensure clear and trustworthy library records.

11. Service Availability and Maintenance

We aim to keep Libby available whenever you need it. However, the service may occasionally be paused for scheduled updates, routine maintenance, campus internet interruptions, or unforeseen technical issues.

We do not promise uninterrupted uptime. When routine maintenance occurs, online catalog searches and digital renewals may be briefly unavailable, but your saved digital card will still be visible for desk verification.

12. Intellectual Property Rights

The Libby application software, user interface design, logos, and digital assets belong to Etriq and its licensors.

Book titles, cover imagery, ISBN details, and bibliographic information belong to their respective authors and publishers. Their display in Libby is solely for educational library discovery.

13. Privacy and Data Handling

Your privacy is important to us. All personal information handled by the app is managed in accordance with our Privacy Policy, which is incorporated into these Terms.

14. Account Suspension & Closure

Library staff may suspend or deactivate an account if:

  • Campus library lending rules are repeatedly or seriously broken.
  • Replacement charges remain unpaid past agreed grace periods.
  • A student or faculty member withdraws, is suspended, or leaves Kamaliya Campus.

Deactivating an account suspends borrowing privileges while preserving the necessary past records for campus clearance. Permanent account deletion is carried out according to the requirements described in Section 10 of our Privacy Policy and on our Account Deletion Page.

15. Disclaimers and Limitation of Liability

The Libby platform is provided on an "as-is" and "as-available" basis to support college library operations.

To the extent permitted by applicable law in India, neither Kamaliya Campus Central Library nor Etriq shall be liable for indirect or incidental damages resulting from temporary service interruptions, physical book unavailability, or catalog data errors.

16. Governing Guidelines and Dispute Resolution

These Terms are governed by and construed in accordance with the campus regulations of Kamaliya Campus Central Library and applicable local educational guidelines in India. If any dispute arises regarding book custody, borrowing privileges, or library charges, it will be resolved through the Chief Librarian and campus administrative channels.
